Commodity sales management
One controlled workflow from shipment to settlement.
CommTrack links shipment, final refined outturn, inventory, allocation, sale and settlement in one auditable workflow. Operations records weights, grades and assays; finance works from the same underlying data, with derived balances, controlled approvals and traceable adjustments.
Shipment & outturn · 01
Record the shipment once.
CommTrack starts with the commercial reality site already knows: product, refiner, destination, weights, moisture, grades and assays. The system uses that shipment data to build inventory, provisional sale records for concentrate, and the outturn adjustments that follow.
Shipment data site can own
Site records doré or concentrate, moisture, assays, return and payable percentages, destination and counterparty. Finance sees the same source record and the ledger movements derived from it.
Posted, outturned, available
Posted shipments await outturn, and final outturn updates inventory availability through controlled actions. Operations and finance see the same state through realtime updates, without a spreadsheet handoff.
Variance drives follow-up
Outturn differences in weight, assay and payable metal are calculated per metal when refinery or smelter results arrive. Shortfalls can flag affected allocations and sale coverage before settlement, not after month-end.
Commercial terms · 02
Terms captured.
Values derived.
CommTrack records the terms that drive value: grades, payable and return percentages, provisional percentages, metal prices, settlement currencies, and treatment or refining charges. Charge templates can be held by refiner and snapshotted to the shipment, so future template changes do not rewrite the parcel.
Gold doré
Doré lots move through shipment, outturn, inventory, sale allocation, approval and settlement. Final assays and refining deductions stay tied to the source lot.
Copper concentrate
Concentrate shipments can generate provisional sales, then record price and outturn adjustments when final information arrives.
Metal lines
Currency is explicit on each sale and balance, so reports separate AUD, USD and metal-account settlements instead of converting them behind the scenes.
CommTrack supports doré and concentrate workflows today, with company-level commodity and currency configuration. It keeps the mechanics visible: charge snapshots, provisional values, outturn true-ups and ledger movements you can audit.
Sales & settlement · 03
Keep the book. Lose the workbook chase.
If you're the analyst or finance partner maintaining settlement workbooks, CommTrack gives you a governed place for sales, allocations, approvals, expected settlement dates and settlement status. Treasurers and Finance Managers see live and real time information from the same source; current position, sale availability, comparisons to forecast, and all other neccesary information needed to make informed revenue management decisions.
Dashboards show sold-but-unsettled amounts, receivables ageing, revenue and cash by native currency, hedge-classified sales and operational trends. Each number drills back to shipments, allocations or ledger movements.
Sales tied to inventory
Sales are allocated to available shipment lots before authorisation. The system checks coverage and can surface oversell warnings when an authoriser chooses to proceed.
Provisional to final, with deltas
Concentrate shipments can create provisional sales, then outturn and pricing updates post adjustment events. Price, weight and assay effects stay visible in the workflow and audit history.
Native currencies, no hidden FX
A sale can carry USD, AUD or another configured settlement currency. Reports keep currencies separate, including metal account settlements, so finance sees the exposure without a silent conversion layer.
Internal reconciliation checks
The system compares sale allocations with ledger depletion movements and highlights mismatches inside CommTrack. External bank, broker and GL reconciliation stay outside the product today.
Control & close · 04
A close that ties to the source records.
Balances are derived, never typed
Site accounts use append-only movements: opening, receipts, sales, transfers and closing balances come from ledger entries. Users cannot overtype a closing balance.
Period locks block back-dated change
Once a period is locked, the database blocks inserts, edits and deletes that would affect that locked period until an admin reopens it. Month-end stays frozen by design.
Role-based approvals
Admin, authoriser, operator and auditor roles control access. Each company sets the number of approvals required; the creator of a sale cannot approve their own work.
Provisional pricing tracked as events
Provisional concentrate sales, outturn true-ups and settlement updates are separate records with their own timestamps and audit trail. Finance can trace revenue back to shipment, allocation and sale state.
Audit trail with before/after detail
Audit logs capture who changed a record, when it changed, and the before/after values. Rejections and operational notes capture the reason where the workflow asks for it.
Capture shipment and outturn
Record doré and concentrate weights, moisture, grades and assays once, then see outturn and availability update from the same workflow.
One view of physical metal
Shipment status, outturn variance and available inventory stay visible without asking finance to rebuild the story from spreadsheets.
Sales, allocations and settlement dates
Allocate sales to lots, monitor expected settlement, follow receivables ageing and trace each number back to the underlying movement.
Cash pipeline by currency
See unsettled sales, native-currency balances and hedge-classified revenue without mixing AUD, USD and metal-account settlements.
Controls that hold at close
Derived balances, period locks, role-based approvals and audit logs support a repeatable month-end close.
Defensible on demand
Reported revenue links to shipment, outturn, allocation, commercial terms and settlement state, with adjustments attached.
